Demo mode

Smart Dentist is running in demo mode. Every patient, appointment, insurance claim and dollar amount shown is fictional, and no real practice, payer, phone or payment system is connected.

  • Billing teamsDenials by deadline, short-pays with evidence and claims held until they are complete.

Why it matters

Where busy practices quietly lose ground

Most of it is not a people problem. Inquiries, cancellations, recall and payer issues live in different systems, and nobody sees them in one place.

  • Unanswered calls

A new patient calls during a busy hour, no one calls back, and they book elsewhere.

  • Last-minute cancellations

A chair sits empty while patients who wanted an earlier visit never hear about it.

  • Patients overdue for recall

Hygiene patients drift past their due date and quietly stop coming.

  • Underpaid and denied claims

Short-pays and denials hide in remittances until the appeal window has closed.

Smart Dentist turns each of these into a visible, owned, trackable task, and shows what happened next.

The product

Four workflows that keep revenue from slipping away

Each one runs end to end in the demo on a fictional two-office practice, from the first signal to the recorded outcome.

Patient acquisition

Answer every new-patient inquiry

Missed calls and web inquiries turn into leads with the caller's reason, a callback deadline and a named owner. Your team sees who to call next, and booking the visit closes the loop.

  • Callback deadlines measured in business hours
  • Attempt history and next attempt on every lead
  • Lead source tracked through to the first completed visit

Schedule recovery

Fill cancellations and overdue recall

When a visit is cancelled, Smart Dentist offers the slot to the best-matching waitlist patients. Staff confirm the first yes, the other offers are withdrawn, and the schedule updates.

  • Matching by visit type, provider, time preference and notice
  • One consent-aware recall message per household
  • No double booking: a slot can only be confirmed once

Insurance and payments

Find money payers may owe you

Payments are compared with your contracted fees, and the gap is shown with its calculation and evidence. Appeals are drafted, approved by Billing, and only counted as recovered when the payment is recorded.

  • Eligibility gaps become Billing tasks before the visit
  • Claims pre-check holds incomplete claims
  • Denials sorted by appeal deadline with four clear decisions

Owner intelligence

Know what to do first

The Growth Command Center ranks every open opportunity by value, urgency and confidence and shows the reason. A daily brief gives each role its own start-of-day list.

  • Potential, booked, completed and collected never mixed together
  • Every figure opens the records behind it
  • Role-specific daily brief for owner, front desk and billing

How it works

From signal to collected, in five steps

Deterministic rules do the counting and the ranking. People make the decisions.

  1. 01

    Connect

Practice data flows in through adapters. In the demo these are mock connectors with a fictional practice.

  2. 02

    Detect

Clear rules spot missed inquiries, open chairs, overdue recall, short-pays and denials.

  3. 03

    Prioritize

Each opportunity is ranked with its reason, and the best next move is suggested.

  4. 04

    Act

Staff work the list. AI can draft; people review and approve every real action.

  5. 05

    Measure

Track potential → booked → completed → collected, each traceable to its records.

Product experience

One product, a workspace for each role

Owners, front desk and billing each start on the view that matters to them, with the same records underneath.

The whole practice at a glance

Owners see every office, the money stages side by side and the Growth Command Center, with a drill-down behind every figure.

  • Potential, booked, completed, billed, collected and recovered
  • Acquisition funnel by lead source
  • Practice-wide money visible to owners only

Business benefits

Practical gains for the whole team

Smart Dentist does not promise a revenue number. It makes problems visible, gives them an owner and shows what each one was worth.

  • Fewer inquiries slip through

Every missed call and web inquiry has an owner and a deadline until it is booked or closed.

  • Better use of chair time

Cancellations go to patients who want the slot, and overdue recall is worked from one list.

  • Payer issues caught with evidence

Short-pays, denials and incomplete claims surface early, with calculations a payer can follow.

  • Less chasing, clearer ownership

Tasks are assigned by role and location, so the team spends less time asking who is on it.

  • Numbers you can trace

Each dashboard figure opens its definition and source records, so you can trust what you see.

  • Your team stays in control

Suggestions and drafts, never autopilot. Clinical and billing decisions stay with people.

Figures shown in the demo are illustrative and computed from synthetic records. They are not customer results.

AI with guardrails

AI that assists. People who decide.

AI in Smart Dentist saves typing and reading time. It never becomes the source of a fee, an appointment, a coverage decision or a clinical fact.

  • 01

    Works from your records only

Summaries and drafts are built from structured records, never invented facts.

  • 02

    Every number is checked

Figures in AI text are compared with the source; text that fails the check is withheld.

  • 03

    No clinical or coverage decisions

It does not diagnose, recommend treatment or promise insurance coverage.

  • 04

    People approve, then act

Appeals, patient explanations and bookings need staff approval. In the demo the AI is a mock provider.

FAQ

Questions practice owners ask

What is Smart Dentist?

A growth and revenue workspace for dental practices. It brings missed calls, cancellations, overdue recall and insurance exceptions into one prioritized list, and tracks what each item was worth from potential through to collected.

Who is it designed for?

Independently owned practices with one to three dentists and small groups with two to twenty locations: owners, front desk teams and billing teams each get their own view.

Is this real patient data?

No. The demo uses a fictional practice with synthetic patients, payers and money. Nothing is connected to a real clinic, payer, phone or payment system, and no message is ever sent.

Does it connect to my practice management system?

Not in the demo: every connector is a labelled mock. Connecting to your system depends on its integration options and vendor permissions, and is scoped and quoted as part of a custom engagement.

Will it increase my revenue?

We don't promise a number. Smart Dentist shows where money may be recoverable and tracks each item from potential to booked to collected. What a practice recovers depends on its data and how the team works the list.

What does the AI actually do?

It drafts summaries, appeal letters and patient explanations from your records, and every number is checked against those records. It does not diagnose, decide coverage or send anything on its own. In the demo it is a mock provider.

Can the AI receptionist answer my phones?

Not today. It is a Preview with scripted website conversations. A live version would need a chat or telephony provider, consent and recording rules, staff review and a compliance review.

Is it HIPAA compliant?

The demo is not a production system and makes no HIPAA certification claim. A production deployment needs a security review, business associate agreements with every vendor that touches patient data, hosting and access controls, and testing.

Can it use our name and colors?

Yes. Practice name, monogram, office names and accent color come from a practice profile, without code changes.

How do I try the demo?

Click Start demo and choose a persona: the owner, a front desk team member or the billing lead. No sign-up or password is needed, and you can switch persona at any time.
